These Terms of Service ("Terms") govern your access to and use of UP-TO-DATE Flow ("Flow", "we", "our", or "us"), a product of UP-TO-DATE AI Webdesign. By creating an account or using Flow at uptodateflow.com, you agree to be bound by these Terms.
If you do not agree to these Terms, do not access or use the Service.
#1. What Flow Does
Flow is an AI-powered personal productivity platform that connects to your Gmail and Google Calendar accounts. Using Claude AI (Anthropic), Flow automatically reads, classifies, prioritizes, and drafts responses to your emails, manages your calendar and tasks, and runs automated workflows on your behalf.
Key capabilities include:
- AI email triage — automated classification, prioritization, and summarization of incoming emails
- AI draft generation — reply drafts written in your writing style, saved to Gmail Drafts for your review
- Task extraction — automatic creation of tasks from email action items
- Smart meeting scheduling — AI-ranked slot proposals based on your calendar availability and preferences
- Workflow automation — automated multi-step workflows with optional human-approval gates
- AI memory system — a persistent profile of your writing style, work patterns, and contact relationships
- Daily briefings, booking links, and an AI chat assistant (Flow Chat)
All AI-generated content — including drafts, summaries, and task suggestions — requires your explicit review and approval before any action is taken on your behalf, unless you configure automated actions in Workflow settings.
#2. Eligibility
You must be at least 16 years old to use Flow. By using Flow, you represent and warrant that:
- You have the legal capacity to enter into these Terms
- You are not prohibited from using the Service under applicable laws
- Your use of the Service will comply with all applicable laws and regulations
#3. Account Registration
To use Flow, you must authenticate via Google OAuth. By connecting your Google account, you:
- Grant Flow permission to access your Gmail, Google Calendar, and Google Tasks using the specific OAuth scopes you authorize
- Represent that you are the authorized account holder of the Google account you connect
- Understand that you may revoke Flow's access at any time from your Google Account security settings at myaccount.google.com
You are responsible for maintaining the security of your account and for all activity that occurs under your account.
#4. Google Account Permissions & Data Access
What Flow accesses
Flow requests the following Google API scopes, and only these:

tasks | Create and sync tasks with Google Tasks |
You may disconnect your Google account from Flow at any time via Settings. Upon disconnection, all background processing for your account stops immediately.
What Flow stores from Gmail
Flow does not store the body content of your emails in its database. Email bodies are fetched live from Gmail during AI processing and are used only to generate:
- A 1–2 sentence AI summary (stored)
- A reply draft (saved to your Gmail Drafts — stored in Gmail, not in Flow's database)
- Extracted task titles (stored as task records)
- AI confidence scores and classification labels (stored)
Only email metadata and AI-generated outputs are persisted in Flow's database. Raw email body content is never retained.
#5. AI Processing & Anthropic Claude
Flow uses Claude AI, developed by Anthropic, PBC, to power its AI features. By using Flow, you understand and agree that:
- Email content (subject, sender, body excerpts up to 3,000 characters) is transmitted to Anthropic's API for processing
- Anthropic does not use API-processed requests to train their models. Your emails are never used to improve Claude for other users.
- AI-generated outputs including drafts, summaries, task titles, and journal entries are generated by Claude and are not guaranteed to be accurate, appropriate, or error-free
- You remain solely responsible for reviewing and approving all AI-generated content before it is sent or actioned
Flow's use of Claude is subject to Anthropic's usage policies.
#6. AI Memory System
Flow's Memory System builds a persistent profile of your work habits, writing style, contact relationships, and scheduling preferences. This profile is stored in a dedicated memory service (memories.uptodateconnect.com) and is:
- Unique per user — cross-user access is architecturally impossible
- Protected by a per-user API key stored encrypted in Flow's database
- Automatically updated nightly by up to 9 automated memory extractors
- Viewable, editable, and deletable by you at any time from the
/app/memorypage
Memory data is used exclusively to personalize AI outputs for you. It is never shared with other users or used to train any AI model.
#7. Workflow Automation
Flow's Workflow Engine allows you to automate multi-step processes involving email, calendar, tasks, and AI actions. When using workflows, you understand that:
- Workflows can send emails, create calendar events, and create tasks on your behalf based on rules you configure
- You may configure Human-in-the-Loop approval gates to review AI output before any action is taken — we strongly recommend this for client-facing automations
- You are solely responsible for the configuration of workflows and any outputs they produce
- Flow is not liable for unintended consequences of automated workflows you configure or activate
- Workflow execution logs are stored and are accessible to you in the Run History view
#8. Email Tracking (Read Receipts)
Flow includes an optional read receipt feature. When enabled on a sent email, Flow embeds a tracking pixel that records:
- When the recipient opens the email
- How many times it has been opened
- The timestamps of the first and most recent open
By enabling read receipts, you acknowledge that:
- This tracking is not disclosed to the recipient unless you choose to disclose it
- You are responsible for ensuring your use of email tracking complies with applicable laws in your jurisdiction (including but not limited to GDPR, CAN-SPAM, and CASL)
- Flow does not guarantee the accuracy of read receipt data (ad blockers, email clients, and privacy tools can prevent tracking pixels from firing)
#9. Booking Links
Flow provides public booking pages at uptodateflow.com/book/[your-slug]. When creating a booking link, you:
- Grant visitors the ability to see your calendar availability and book time with you
- Authorize Flow to create Google Calendar events and Google Meet links on your behalf when a booking is confirmed
- Authorize Flow to send confirmation emails to you and the person who books
You may deactivate or delete booking links at any time from /app/booking.
#10. Acceptable Use
You agree not to use Flow to:
- Spam, harass, or send unsolicited bulk emails
- Violate any applicable law, regulation, or third-party rights
- Impersonate another person or entity
- Circumvent or attempt to circumvent any security measures
- Reverse engineer, decompile, or disassemble any part of the Service
- Scrape, crawl, or extract data from the Service in an automated manner outside of provided APIs
- Use the Service in a way that could damage, overload, or impair Flow's infrastructure
- Transmit malware, viruses, or other harmful code
- Use the Service to process information in violation of health, financial, or legal regulations requiring special data handling (HIPAA, PCI-DSS, etc.) without a separate written agreement
We reserve the right to suspend or terminate accounts that violate this section.
#11. Subscription, Billing & Plans
Plans
Flow offers four subscription tiers: STARTER, PRO, TEAM, and ENTERPRISE. Feature availability varies by plan as described on our pricing page.
Payment
Billing is processed by Stripe. By subscribing, you authorize us to charge your payment method on a recurring basis (monthly or annually, as selected). All charges are non-refundable except as required by law or as expressly stated in our Refund Policy.
Upgrades & Downgrades
You may change your plan at any time. Upgrades take effect immediately on a prorated basis. Downgrades take effect at the next billing cycle.
Free Trials
If we offer a free trial, it will convert to a paid subscription at the end of the trial period unless cancelled beforehand. We will notify you before the trial ends.
Failed Payments
If a payment fails, we will attempt to re-charge and notify you. After repeated failures, we may suspend access until the outstanding balance is resolved.
Cancellation
You may cancel your subscription at any time from Account Settings. Your access continues until the end of the current billing period. We do not offer prorated refunds for partial periods unless required by law.
#12. Data Retention & Deletion
Upon account deletion:
- Your email metadata and AI-generated summaries are deleted from Flow's database
- Your task records, calendar data, and workflow configurations are deleted
- Your memory profile is deleted from the memory service
- Gmail drafts created by Flow remain in your Gmail account (you may delete them manually)
- Backup copies may be retained for up to 30 days before permanent deletion
You may request a copy of your data or early deletion by contacting us at the address in Section 17.
#13. Intellectual Property
Our IP
Flow, including its software, design, branding, and AI-powered features, is owned by UP-TO-DATE AI Webdesign. Nothing in these Terms grants you any right, title, or interest in our intellectual property.
Your Content
You retain ownership of all emails, calendar data, and other content in your Google account. You grant Flow a limited, non-exclusive, non-transferable license to access and process your content solely to provide the Service.
AI-Generated Outputs
AI-generated drafts, summaries, task titles, and journal entries are produced using your content as input. You own the outputs generated on your behalf. Flow retains no claim to them.
#14. Disclaimers
THE SERVICE IS PROVIDED "AS IS" AND "AS AVAILABLE" WITHOUT WARRANTIES OF ANY KIND, EXPRESS OR IMPLIED.
Specifically, Flow does not warrant that:
- AI-generated email drafts, summaries, or task suggestions are accurate, complete, or appropriate for your specific situation
- The Service will be uninterrupted, error-free, or available at all times
- AI outputs will reflect your writing style perfectly or be free from errors
- Automated workflows will execute without failures
- Read receipt data will be accurate in all circumstances
You are solely responsible for reviewing all AI-generated content before sending or acting on it. Flow is a productivity tool — it assists your decision-making but does not replace your judgment.
#15. Limitation of Liability
TO THE MAXIMUM EXTENT PERMITTED BY APPLICABLE LAW, UP-TO-DATE AI WEBDESIGN AND ITS OFFICERS, DIRECTORS, EMPLOYEES, AND AGENTS SHALL NOT BE LIABLE FOR:
- Any indirect, incidental, special, consequential, or punitive damages
- Loss of profits, data, business opportunities, or goodwill
- Damages arising from reliance on AI-generated content (including drafts, summaries, or scheduling suggestions)
- Damages arising from automated workflow execution
- Unauthorized access to your account or Google data by third parties
OUR TOTAL LIABILITY FOR ANY CLAIM ARISING FROM OR RELATING TO THE SERVICE SHALL NOT EXCEED THE AMOUNT YOU PAID TO US IN THE THREE MONTHS PRECEDING THE CLAIM.
Some jurisdictions do not allow certain limitations on liability. In such jurisdictions, our liability is limited to the maximum extent permitted by law.
#16. Indemnification
You agree to defend, indemnify, and hold harmless UP-TO-DATE AI Webdesign and its officers, directors, employees, and agents from any claims, damages, losses, liabilities, and expenses (including legal fees) arising from:
- Your use of the Service in violation of these Terms
- Content you transmit through or process with the Service
- Your violation of any applicable law or third-party rights
- Workflows or automations you configure that cause harm to third parties
#17. Changes to the Service & Terms
We may modify the Service or these Terms at any time. When we make material changes, we will:
- Post the updated Terms at uptodateflow.com/terms
- Update the "Last updated" date at the top of this document
- Notify you via email or in-app notification for significant changes
Your continued use of the Service after changes take effect constitutes acceptance of the revised Terms.
#18. Termination
By you
You may stop using the Service and delete your account at any time via Account Settings.
By us
We may suspend or terminate your access to the Service at any time, with or without notice, if:
- You violate these Terms
- We receive a valid legal order requiring us to do so
- Continued access poses a security risk
- We decide to discontinue the Service (with reasonable notice)
Upon termination, your license to use the Service ends immediately and Sections 12–16 survive termination.
#19. Governing Law & Dispute Resolution
These Terms are governed by and construed in accordance with applicable laws. If you have a dispute with us, please contact us first at the address below — we will do our best to resolve it amicably.
Any unresolved disputes shall be subject to binding arbitration in accordance with the rules of the applicable arbitration authority in our jurisdiction, except that either party may seek injunctive or other equitable relief in court for claims involving intellectual property or unauthorized access.
#20. Miscellaneous
- Entire agreement — These Terms, together with our Privacy Policy, constitute the entire agreement between you and UP-TO-DATE AI Webdesign regarding the Service
- Severability — If any provision of these Terms is found invalid or unenforceable, the remaining provisions remain in full force
- No waiver — Our failure to enforce any right or provision does not constitute a waiver of that right
- Assignment — You may not assign these Terms without our written consent. We may assign our rights and obligations without restriction.
- Force majeure — We are not liable for delays or failures caused by circumstances beyond our reasonable control
